Overview
Arcon Recruitment is seeking a highly organised and proactive Office Administrator & Health and Safety Administrator for an established company based in Castlebar, Co. Mayo.
This is a varied position combining general office administration with responsibility for maintaining health and safety records and supporting compliance activities across the business.
The successful candidate will work closely with management, employees, contractors and external service providers. The position would suit someone who is detail-oriented, comfortable managing competing priorities and confident handling confidential information.
Key Responsibilities
Office Administration
- Manage the day-to-day administration of the office.
- Answer telephone calls, respond to emails and deal professionally with general enquiries.
- Prepare correspondence, reports, spreadsheets, presentations and other business documents.
- Maintain accurate electronic and paper filing systems, databases and office records.
- Manage incoming and outgoing post and general office communications.
- Order and maintain office supplies, stationery and equipment.
- Assist with meetings, appointments, training sessions and company events.
- Maintain timesheets, holiday records, attendance records and other employee administration.
- Liaise with suppliers, contractors and external service providers.
- Support invoice processing, purchase orders and general financial administration.
- Provide back-office support for Re-flow; full training will be provided.
- Support management and other departments with administrative duties and projects.
Health and Safety Administration
- Support the administration and ongoing development of the company’s Health and Safety Management System.
- Maintain current health and safety policies, procedures, records and supporting documentation.
- Assist with the preparation and review of risk assessments and method statements.
- Coordinate workplace inspections and audits.
- Record findings and follow up on outstanding corrective actions.
- Maintain accurate records of accidents, incidents, near misses and corrective actions.
- Ensure all required accident and incident documentation is completed.
- Coordinate health and safety training and maintain employee certification records.
- Monitor training expiry dates and notify management when refresher training is required.
- Maintain records relating to PPE, safety equipment, inspections and servicing.
- Manage contractor and visitor health and safety documentation.
- Support emergency procedures and workplace drills.
- Prepare health and safety reports and statistics for management.
- Communicate relevant safety information to employees.
- Help promote a positive health and safety culture throughout the organisation.
- Provide administrative support to the Health and Safety Manager or designated responsible person.
Skills and Experience
- Previous experience in office administration, health and safety administration or a similar position.
- Strong organisational and time-management skills.
- Ability to manage multiple responsibilities and deadlines.
- Excellent attention to detail and a high level of accuracy.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Word, Excel and Outlook.
- Good understanding of workplace health and safety principles.
- Ability to maintain accurate records and documentation.
- Ability to work independently and contribute effectively as part of a team.
- Professional and discreet approach when handling confidential company and employee information.
Desirable Experience
- Experience within construction, engineering, manufacturing, facilities management or another safety-focused environment.
- Knowledge of Irish workplace health and safety requirements.
- Experience maintaining safety documentation and employee training records.
- Experience with risk assessments, workplace inspections or incident reporting.
- A relevant health and safety qualification, such as QQI Level 5 or 6 in Occupational Health and Safety, IOSH or equivalent, would be an advantage but is not essential.
